ESSENTIAL DUTIES Performs a variety of routine and complex clerical, secretarial, administrative and para-legal work in maintaining office operations, preparing legal documents and providing administrative assistance to the City Attorney.
Works under the supervision of the City Attorney, other legal division attorneys, and the Legal Assistant.
Supervision is not exercised in this position.
Performs routine clerical and administrative work in receiving the public, providing assistance, and data processing.
Receives the public and answers questions about the legal division, responds to inquiries from employees, citizens and others and, when necessary, refers to appropriate persons.
Locates, notifies and requests subpoenas for responsible parties for pretrial and court appearances.
Composes, types, and edits a variety of correspondence, reports, memoranda and other material requiring judgment as to content, accuracy and completeness.
Maintains files for Municipal Court cases and District Court appeals.
Calendars Municipal Court and other court appearances for attorneys.
Files collection proceedings and monitors garnishments, estates, and bankruptcies.
Types legal documents such as motions, memoranda of law, briefs, orders, and petitions.
Establishes and maintains filing systems, control records and indexes using moderate independent judgment.
Attendance at work is an essential function of this position.
NON-ESSENTIAL DUTIES Receives, stamps and distributes incoming mail, processes outgoing mail.
May serve on various employee committees, as required and assigned.

QUALIFICATIONS This position is subject to the City of Farmington's Drug and Alcohol Free Workplace Policy.
Extensive background checks required.
Valid driver's license with acceptable driving record for the past three years or state of current residency.
Graduation from high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting and bookkeeping, and three (3) years of increasingly responsible related experience, or any equivalent combination of related education and experience.
Typing speed in the range of 70 words per minutes, or at a rate sufficient to perform the duties of the job.
Strong computer literacy skills including but not limited to Microsoft Office, internet explorer, Gmail, research skills and more.
Working knowledge of modern office practices and procedures.
Knowledge of legal terminology, format and standard legal instruments.
Working knowledge of the court system.
Ability to maintain confidentiality in dealing with legal matters.
Ability to conduct routine legal research, assemble data and prepare accurate records and reports.
Ability to communicate effectively verbally and in writing.
Ability to follow verbal and or written instructions.
Ability to work under stress and in stressful situations.
Ability to work with frequent interruptions.
Ability to communicate in an efficient and calm manner with irate or distraught citizens.
Ability to establish and maintain working relationships with co-workers, supervisors, other City personnel and the public.
Ability to operate tools and equipment listed.
TOOLS AND EQUIPMENT USED Requires frequent use of personal computer, including word processing and specialized software, 10-key calculator, telephone, copy machine and fax machine.
